Typical responsibilities:

A selection of tasks from the following:

  • Administrative & Clerical
  • Answering and directing incoming phone calls.
  • Responding to emails and drafting correspondence.
  • Scheduling meetings and sending calendar invites.
  • Taking minutes during meetings and distributing them.
  • Updating contact lists and membership databases.
  • Filing documents (digital and paper).
  • Office Operations
  • Checking stock of office supplies and placing new orders.
  • Distributing mail and packages.
  • Coordinating repairs or maintenance for office equipment.
  • Ensuring meeting rooms are prepared (materials, refreshments).
  • Financial & HR Support
  • Collecting and recording membership contributions.
  • Assisting with preparation of invoices and receipts.
  • Submitting expense claims and petty cash reconciliations.
  • Updating employee leave/attendance records.
  • Preparing basic payroll information for external accountants.
  • Communication & Coordination
  • Welcoming visitors and guiding them within the office.
  • Acting as the first point of contact for external partners.
  • Circulating internal memos and updates to staff.
  • Supporting the organization of events (booking venues, sending invites, following up).

Desirable skills:

  • The skills combine organisational ability, communication, and a good level of technical know-how being versatile and hands-on.

About the Voluntary Organisation:

Malta Football Players Association

The Malta Football Players Association serves as the exclusive collective bargaining representative for all current players affiliated with the Malta Football Association. Formed in March 2011, the Association ensures protection of the rights of all football players playing in Malta, while also promoting their best interests. The MFPA is locally affiliated with SportMalta, recognised by the Malta Football Association and also registered with the Office of the Commissioner for Voluntary Organisations. Internationally the MFPA is a full member of FIFPro which is the worldwide representative organisation for professional football players.
